Privacy Notice
Last updated: 1 June 2026
What this is
Sait Recycling runs an internal app used by staff and drivers to plan rounds, record collections, and manage holiday bookings. This notice covers what the app collects, why, and who can see it.
What we collect
- Account details: your name, email or username, role, and a hashed password.
- Round activity: the shops or bins you visit, the weight and bag count you record, time stamps, and a photo you take as proof of collection.
- Holiday requests you submit: dates, status, and any reason given.
- Audit log entries: a record of who did what (logins, edits, deletions) for accountability.
- Anonymised technical logs needed to run the service (timestamps, error messages).
What we don't collect
- The app does not track your phone's location in the background. The driver app no longer requests continuous GPS.
- We don't read your phone's photo gallery or messages. Photos you take through the app go directly from the camera into the upload.
- We don't sell, share, or use your data for advertising.
Vehicle tracking
Company vehicles are tracked by an external fleet system (Fleetsmart) installed in the vehicle. That data tells us where the vehicle is and how long it has left on a round. It is independent of the app and continues whether the app is open or not.
Who can see what
- Admins and managers can see all rounds, collections, holidays, and audit entries.
- Drivers see only their own rounds and messages.
- Office staff with holiday accounts see only their own holiday requests.
- Charity portal users see only their own organisation's data.
How long we keep it
Account, round, and audit data are kept for as long as is needed to run the service. Photo uploads tied to a yard collection are purged automatically after one month. You can request deletion of your own account at any time.
Your rights
You can ask to see what we hold about you, correct it, or have it deleted. Contact your manager or email the address below.
